Calendar vs. To-Do List: What Belongs Where?

A calendar full of fake appointments, a list full of real deadlines — for most people it's exactly backwards. The separation is simple:

The Basic Rule

  • Calendar = firm commitments to others or to reality. Meetings, train times, deadlines with a specific hour.
  • List = everything YOU decide flexibly. Tasks, even important ones, even ones with a due date.

Why the Split Matters

A calendar full of movable wishes goes numb: if you ignore three "appointments" every day, you'll soon ignore the real ones too. And a list full of timestamps lies about how much freedom you actually have.

The Bridge: Timeboxing

Important tasks are allowed to move into the calendar on purpose — as a timebox, a genuine appointment with yourself that you actually keep. The difference from a fake deadline: you treat it like a meeting.

In Practice

When doing your weekly planning, read the calendar first (how much of the day is even left?), then fill the list realistically.
