A to-do list rarely fails at the writing-down stage — it fails at the system behind it. Here is how to turn a messy pile of notes into a tool that actually carries you through the day.
The three ground rules
- One place for everything. The moment tasks live in email, your head and a notebook at once, you lose. Capture everything in a single inbox.
- Small enough to start. "Do taxes" is a project, not a task. "Pull receipts from the mail folder" is something you can do today.
- Less is more. Plan one big rock and two quick wins per day — a full page guarantees disappointment.
Prioritize, don't just sort
Give every task an honest priority (high/medium/low, max 20 % high) and a due date only if one truly exists. Sort by both. Plan tomorrow the evening before — your morning brain will thank you.
Review weekly
Fifteen minutes once a week: celebrate what's done, re-judge what's stuck (reschedule, delegate or delete), pick three goals for the coming week. Without this ritual, every list decays into a graveyard.

Paper or app? Whatever you'll open daily. Apps win at recurring tasks, reminders and capture-on-the-go; paper wins at zero distraction.
