Delegating Tasks: Letting Go as a Productivity Strategy

TTobias Tröndle · Updated: 2026-02-20

"It's faster to just do it myself than explain it" — the most expensive sentence in any workplace. It's true the first time and a lie from the second time on.

What to delegate?

Everything that's urgent but unimportant to YOU (Quadrant 3 of the Eisenhower Matrix) — plus anything recurring that someone else can do 80% as well. 80% done by someone else beats 100% left undone by you.

The clean handoff

  1. Describe the outcome, not the path: "Three meeting slots by Friday" instead of click-by-click instructions.
  2. Give context: Why does it matter? People prioritize what they understand.
  3. Agree on a check-in instead of constant monitoring.

Delegate to machines too

Drafting text, sorting appointments, creating tasks from dictation — AI can handle all of this today. When you hand off routine work, you protect your energy for what only you can do.

By the way: In ToDoClub you just toss tasks into the chat as a plain sentence — the AI figures out the due date, priority, and area of life on its own. Try it for free at todoclub.org.
